Policy Purpose and Description  

All units in the College of Liberal Arts and Sciences will follow these procedures in the Annual Review of Tenured Faculty. These procedures are approved by the Office of the Provost (July 9, 2012) as consistent with the UI Policy on Review of Tenured Faculty (UI Operations Manual, III.10.7.b).

Procedure 

  1. In the College of Liberal Arts and Sciences, the Annual Review of Tenured Faculty is an evaluative process, which may also be formative and developmental. 
  1. The DEO conducts the Annual Faculty Review of Tenured Faculty. 

  1. The Annual Review evaluates faculty activity during the previous calendar year (I.e. if the review is due in Spring 2021, the evaluation period will be from January 1, 2020 - December 31, 2020). 

  1. The evaluations must be completed by the last day of the semester each spring. 

  1. Each unit has specified whether its practice in annual reviews of tenured faculty is to have a committee (ad hoc or standing) serve in an advisory role to the DEO – see below.  If so, the composition of this committee and its mode of selection must include only tenured faculty. 

  1. The DEO and, where applicable, the advisory committee, assess the faculty member’s recent record using the Collegiate Standards for Tenured Faculty Reviewand the departmental standards for tenured faculty review approved by the College and the Provost. 

  1. The materials that form the basis of the Annual Review, in addition to the Collegiate and departmental standards, are the faculty member’s updated CV, the faculty member’s brief outline (no more than one page) of their activities and accomplishments during the previous calendar year, the faculty member’s teaching evaluations from the previous calendar year, and the faculty member’s most recent Annual Review, as well as any plan that resulted from point 11 (below) in that previous review.  (In departments that use a three-year outline of activities as part of the annual review process, faculty members may submit outlines of up to three pages.)  

  1. By the end of the Spring semester, the DEO will send to the Dean’s Office a completed Form for Annual Review of Tenured Faculty for each faculty member, with the appropriate boxes checked. Enter into the Faculty Administration portal (FRAP).  The CV is a required attachment. 

  1. The faculty member has the right to respond to the evaluation within 5 working days of receiving the Annual Review.  The faculty member will send this response to the DEO with a copy to the Dean (uploaded as correspondence in FRAP).

  1. For those faculty to whom part 9 (above) applies, the DEO will meet with the faculty member to discuss the Annual Review.  The DEO will then consult the Dean on how to facilitate progress over the next year.  The plan agreed upon must be approved by the Dean and be part of the materials considered in the subsequent Annual Review for that faculty member. 

  2. An Annual Review of Tenured Faculty is not required in the year the faculty member undergoes a five-year peer review of tenured faculty. 

  1. The DEO is not included on the review schedule during their term in office. 

In the following CLAS departments, the DEO is solely responsible for the annual review of tenured faculty:

The practice in the following departments is to have an ad hoc or standing committee that advise the DEO on annual reviews of tenured faculty, as described below: 

Art & Art History 

Annual review of the tenured faculty is accomplished by the School’s Salary Committee. This committee is appointed annually by the Director of the School and is composed of four tenured faculty members (two from Art History, two from Studio Art). Each year, the members of this committee rotate so that all tenured faculty eventually have an opportunity to serve. Each member of the Salary Committee examines updated CVs and makes a recommendation on salary increases to the Director. Committee members deliberate individually and send in a written report to the Director. The committee is convened during the Spring semester. Faculty members cannot serve in consecutive years. 

Biology 

The elected members of the departmental executive committee, all of whom are tenured associate or full professors, serve in an advisory role to the DEO on annual reviews of all tenured faculty members. 

Chemistry 

The annual review of tenured faculty in the Department of Chemistry includes an ad hoc committee that is advisory to the DEO.  This committee is composed of three members of the tenured faculty selected by the DEO on a rotation basis.  The DEO chairs the meeting of this committee where the record of each member of the tenured chemistry faculty is reviewed and a ranking is established. 

Classics 

It is the practice of the Classics department that for each annual review, an ad hoc committee of tenured faculty is formed to advise the DEO. The DEO announces the beginning of the process. Any tenured faculty may serve, and no one is required to serve.  After a meeting time is agreed upon, those faculty who wish to serve meet with the DEO to review the CVs. Associate Professors may review associate professors; only full professors may review all tenured faculty including full professors. Each individual is excused from the meeting when his or her own CV is reviewed. 

English 

The annual review committee in the Department of English, serving in an advisory role to the DEO, will be identical with the salary review committee. The committee will consist of the Associate Chair for Faculty and the two most senior members elected to the department’s Executive Committee.  In the event that one or more of those members is below the rank of full professor, a former Associate Chair for Faculty or former DEO will serve on the salary and annual review committee instead. 

Journalism & Mass Communication 

The Merit Advisory Committee reviews faculty dossiers each spring and advises the Director regarding faculty merit salary increases. The committee comprises of at least two regular faculty members elected by the faculty.  All members of the committee must be regular faculty members and at least one member must be tenured, who serve two-year terms on a rolling basis.  It is preferable but not required that members of the committee reflect the diversity of areas of expertise on the faculty.

Mathematics 

The departmental Salary Committee serves in an advisory role to the DEO for the annual review of tenured faculty. The Salary Committee consists of the DEO and three other tenured full professors selected by the DEO for a one year term. 

Music 

Annual reviews of tenured faculty in the School of Music are conducted by the DEO, in consultation with the Executive Committee, an elected, representative body of tenured faculty, and the Associate Directors, also tenured.  As described in the SOM Manual of Operations (change approved by SOM faculty vote on September 14, 2010), the EC “shall be composed of seven elected members from and by the faculty of the School of Music.  The elected membership shall consist of three members from the performance faculty, two from the academic faculty, one from the major ensemble conductors, and one at-large member. Executive Committee members must be tenured.”  The representative nature of the EC is important as they consider the diverse creative and scholarly activities of SOM faculty each year.  Members of the EC are reviewed by the Associate Directors, ensuring that each faculty member receives a peer review.  The SOM DEO conducts their own independent evaluation of all faculty, and then considers the evaluations submitted by the EC and ADs before submitting the final annual review. 

Political Science 

The DEO consults the tenured members of the Department’s Executive Committee in performing the annual review. 

Psychological & Brain Sciences 

The DEO of the Department of Psychological & Brain Sciences appoints a three-member review committee for each faculty member undergoing a post-tenure review. For both associate and full professors, this committee is made up of only full professors. 

Religious Studies 

The DEO and at least one other senior faculty member, elected by the Associate and Full Professors, make assessments of the annual performance of faculty members. 

Sociology & Criminology 

Pursuant to the Sociology & Criminology Department’s Administrative Structure and Manual of Operations and Procedures (as approved by CLAS), annual reviews of tenured faculty are conducted by the tenured faculty from the Department of Sociology and Criminology’s standing Executive Committee in an advisory role to the DEO. Committee members are elected to staggered two year terms in annual elections at the last faculty meeting of the academic year. 

Frequently Asked Questions  

Q: Is an annual tenured faculty review required in the year that a five-year peer review is conducted?

A: No. Since the DEO assessment is a required component of the five-year peer review, a separate annual review is not required. 

Q: Is an annual tenured faculty review required in the year that a promotion review is conducted?

A: No. Since the DEO recommendation letter is a required component of the promotion review, a separate annual review is not required.
