Policy Purpose and Description  

The purpose of this policy is to establish guidelines for compensating staff members who temporarily assume the duties of colleagues on extended medical leave, ensuring fairness and consistency across the college.

This policy applies to all staff members who are asked to cover for colleagues on extended medical leave. It does not apply to voluntary absences, such as vacations.

Definitions  

Extended Medical Leave: A leave of absence for medical reasons lasting six weeks or longer.

Policy for Compensation for Covering Duties

Staff members covering for a colleague on extended medical leave may receive an administrative differential of up to 10% of the covering staff member’s salary for the duration of the coverage. If multiple staff members share the duties, the total compensation can be split, with effort not to exceed 10%. This split is dependent on the responsibilities assigned for the coverage and is not required to be split evenly. For example, if two staff members share the coverage, each could receive 5% of their respective salaries for the duration of the coverage or one staff member could have 3% and the other 7%.

If the workload can be managed by several staff members without causing undue burden or requiring additional hours, no additional compensation will be provided. 

Funding

The 10% administrative differential will be on the same MFK as the appointment of the staff member on medical leave, with the addition of OACT 160. If the staff member was on the departmental salary account, CLAS will fund the differential coverage. If the staff member is funded on any other account, the account must have the required funds available to pay the differential. Additionally, departments may use SPOT or Exceptional Performance awards at their discretion, given they have the funds to do so.
